Screens are seen by everyone who walks past, so think about what your calendars reveal. CompleteVantage gives you three layers of control. In this article you'll choose the right one.
1. Private meetings always show "Busy"
When someone marks a meeting as private in Outlook or Google Calendar, the screen shows Busy instead of the title, and never shows its location. You don't need to set anything up for this.
2. Hide all titles on a board
To show every meeting as Busy, whatever it's called:
- Open the layout with the room board or agenda in Layouts.
- Select the calendar zone (in templates it's called Room calendar or Events).
- Turn off Show meeting titles (off shows "Busy").
- Select Save layout.
Times still show, so people can see when the room is free. Locations are hidden too.
3. Share less in the first place
The safest option is to publish only what the screen needs:
- Outlook and Microsoft 365: publish with Can view when I'm busy, or

How the link is protected
- The iCal link is stored on the CompleteVantage server. It's never shown again after you save it, and it's never sent to screens.
- Screens only receive upcoming events for the calendars they show.
- Previews in the admin use the same rules, so you'll see "Busy" there too.
